At Rhino Hosting, we know how critical email is to your business. But let’s be honest—terms like SMTP, IMAP, and POP3 can sound like alphabet soup if you’re not deep into tech. That’s why we’ve broken it down into a simple, visual guide that shows exactly how email protocols work and why they matter for you.
Step 1: It Starts With the Sender
Every time you hit send on an email, your email client (like Outlook or Gmail) connects to your outgoing mail server via SMTP (Simple Mail Transfer Protocol). SMTP is responsible for pushing the email from your device to the destination server. The standard port is TCP 25, but secure versions use SMTP(S) on ports like 465 or 587.
Step 2: Finding the Destination
Your mail server performs an MX Lookup (Mail Exchange DNS query) to find the recipient’s mail server IP address. This step ensures your message is routed to the correct location—think of it like using Google Maps to find the recipient’s “email house.”
Step 3: Message Processing and Queuing
Once located, your email is processed—MIME encoding, spam checks, and security verification are applied. The message is then placed into a mail queue. If the destination server is temporarily unavailable, the email stays in the queue and retries delivery later (store-and-forward model).
Step 4: Delivery to Receiver’s Server
The recipient’s Mail Transfer Agent (MTA) finally accepts the message and stores it until their email client fetches it using either:
- IMAP (Internet Message Access Protocol) – Allows the user to sync across multiple devices, keeping messages stored on the server. Uses TCP 143.
- POP3 (Post Office Protocol v3) – Downloads the email to a single device and removes it from the server. Uses TCP 110.
Step 5: Security Protocols Keep Things Safe
At Rhino Hosting, we enforce top-tier email security protocols:
- SPF – Blocks spoofed emails by verifying sender domains.
- DKIM – Attaches a digital signature to verify message integrity.
- DMARC – Tells recipient servers how to handle suspicious emails.
These protocols protect your domain from being abused by spammers and ensure your messages are trusted.
